Getting started

How early should I start planning my trip?

We recommend a minimum of 3-6 months planning time before your departure whenever possible. The properties we work with are boutique properties, which means a lovely intimate experience for guests, but also means that there are fewer rooms available to book.

Still, if you only have a couple of weeks before your departure, don't worry! We can work around hotel availability and come up with an itinerary that meets your needs, regardless.

What if I don’t know where I’d like to go yet?

That’s perfectly fine, it's quite common! We’ll ask the right questions to uncover what excites you, and guide you toward the destination that best fits your style, interests, and season of travel.

What types of trips and travelers do you plan for?

We plan private, custom trips across Latin America and the Caribbean for couples, families, multigenerational groups, friends, and small private groups. We regularly plan honeymoons, anniversaries, milestone trips, family vacations, and journeys centered on wildlife, adventure, food, culture, or simply time somewhere beautiful.

Our trips range from a single-destination escape to more complex itineraries combining several regions or countries. We also work with travelers with special needs (mobility, dietary, religious, etc.), as well as  LGBTQ+ travelers seeking informed advice about where to stay and travel safely and comfortably.

Why don’t you plan trips outside Latin America and the Caribbean?

We choose to specialize so we can give you advice with real depth. Focusing on Latin America and the Caribbean lets us build strong relationships with local partners and keep our knowledge of hotels, guides, routes, and seasonal conditions current. That means more specific recommendations, honest advice about the trade-offs, and better support when plans change. We only plan trips within this region because it’s where we can offer that level of expertise.

How is Osaviva different from other travel companies?

We’re not a big-box agency or an algorithm. We’re a boutique, human-driven company with deep regional knowledge and a passion for responsible, luxurious travel. Our clients come to us for thoughtful curation, seamless service, and the peace of mind that comes with having an expert in your corner.

Planning your trip

What do your services include?

We handle everything from the moment you reach out until you return home. That includes destination advising, itinerary design, booking of accommodations and experiences, expert recommendations, and on-the-ground support throughout your trip. We also build in thoughtful extras, whether it’s a bottle of wine in your room or a surprise dinner reservation.

How customized will my trip be?

Every Osaviva itinerary is custom built for the people taking the trip. We consider your dates, budget, interests, preferred pace, hotel style, activity level, and the experiences that matter most to you.

We then recommend the route, hotels, private transportation, guides, and experiences. Nothing is taken from a fixed package, and we explain the trade-offs when a request doesn't fit well into your trip.

You do not need to know exactly what you want before we begin. We're happy to help you narrow down the possibilities and figure out what matters to you.

Can you help with flights?

We often book international flights for clients, or we can provide guidance on routes, timing, and airport options. For domestic flights within your destination, we typically include those in your itinerary where needed.

Can you accommodate dietary, mobility, or other special requirements?

Of course. We love planning trips that are a bit outside of the box. We frequently tailor experiences to meet mobility needs, religious requests, dietary requirements, and other special needs.

Can you plan sustainable or eco-conscious trips?

Sustainability is central to how we travel. We prioritize properties and experiences that support local communities, protect natural ecosystems, and offer meaningful connections instead of mass-market tourism.

Pricing & payments

What’s included in the trip cost?

Your total cost includes all the elements outlined in your personalized itinerary typically accommodations, tours and activities, guides, in-country transportation, park entrance fees (though not always), and any special touches we’ve arranged. You’ll receive a clear breakdown before confirming.

What’s not included?

All trips are different. For most trips, international flights, travel insurance, and most tips or gratuities are not included unless noted. We’ll flag any optional add-ons, such as spa treatments or premium room upgrades, so there are no surprises.

What payment methods do you accept?

We accept credit card payments, or wire transfers to our bank account. There are no additional fees to pay via credit card, though international wire transfers may incur a cost (usually around USD $35-50, depending on your financial institution). Trip prices are quoted and charged in USD.

Can I pay in installments?

Yes. We’re happy to break your balance into multiple payments to make planning feel more manageable. Just let us know what works best for you.

What is your payment schedule?

We require an initial deposit (typically 30%, though this number varies for peak season over Christmas) to secure your accommodations and experiences. The remaining balance is typically split into one or two payments, with the final amount due 60 days before travel. We’ll confirm the exact schedule when you book.

Is my deposit refundable?

Deposits are non-refundable, as they’re used to secure your reservations. However, we’ll always do our best to recover funds or offer flexibility where possible, especially if travel is disrupted by something beyond your control.

Can you give me a price breakdown?

We cannot give price breakdowns due to the confidential nature of the contracted rates we receive from our partners. We can, however, give you a high level breakdown of the approximate amount spent in transportation, accommodation, and meals & tours.

Are there extra fees or taxes I should expect?

We believe in transparency. Any mandatory fees or taxes will be clearly outlined in your quote. Our pricing is inclusive, so you’ll never be surprised with additional costs when you arrive.

Preparing & traveling

Do I need travel insurance? Do you offer it?

We handle everything from the moment you reach out until you return home. That includes destination advising, itinerary design, booking of accommodations and experiences, expert recommendations, and on-the-ground support throughout your trip. We also build in thoughtful extras, whether it’s a bottle of wine in your room or a surprise dinner reservation.

What should I pack?

We recommend packing as light as possible, mainly because most domestic airlines in Latin America have restrictive baggage policies (you can usually travel with more baggage than the allowed amount, but there is a cost). That being said, the specific requirements for your trip will vary depending on where and when you're traveling, so we provide all guests with a suggested packing list before your departure.

Can you help arrange my travel visas?

Requirements for travel visas vary depending on your nationality and your destination. We are unable to arrange visas on your behalf, but can provide you with resources to help you determine if visas are required for your travel. If you do require a visa, you can arrange it yourself, or through a visa processing company.

What vaccinations are required for my trip?

It is your responsibility to ensure that you have the appropriate vaccinations or medications needed for your trip. The only way to receive the most accurate, up-to-date travel health information is through your family physician or a specialist at a travel health clinic. Bear in mind that many vaccinations need to be given months before departure (and may require boosters) to reach full efficacy.

Do you offer 24/7 support while I’m traveling?

Yes. We offer around-the-clock support while you’re traveling. If something unexpected comes up, like flight delays, weather issues, or last-minute changes, we’re just a message or phone call away.

Honeymoon FAQs

How far ahead should we book?

Six to twelve months is ideal, especially for December to April or for villas with private pools, which sell out first.

When is the best time to go?

December to April is dry season across most of Central America and Mexico, and the busiest. Our favorite months are May, June and November: fewer crowds, lush landscapes and better rates.

How long should a honeymoon be?

Ten to fourteen days is common. That's enough time for two or three stops, often an active start and a beach finish.

Do hotels offer honeymoon extras?

Many do! Think a welcome bottle, a special turndown or an upgrade when available. Some ask for proof of marriage within the past six to twelve months.

Can we combine two countries?

Absolutely! Popular pairings include Costa Rica and Panama, Belize and Guatemala, and Peru and the Galápagos, all linked by short flights.

Should we leave right after the wedding?

Many couples leave within a few days. Others wait a few months for better weather or rates, which also gives you something to look forward to.

Nature & Wildlife FAQs

When is the best time for wildlife?

That depends on the animal:

  • Green turtles nesting in Tortuguero, Costa Rica: July to October
  • Whale sharks off Isla Mujeres, Mexico: June to September
  • Humpback whales on the Pacific coast of Costa Rica and Panama: July to October, plus December to March
  • Galápagos: year-round, with different highlights each season
Will we see a jaguar?

Possibly, but sightings are rare in the wild. Sloths, monkeys, toucans, coatis and macaws are far more reliable.

Is a naturalist guide worth it?

Yes. A trained guide with a spotting scope finds far more than you would alone, especially birds, frogs and anything high in the canopy.

What should I pack?

Binoculars, lightweight long sleeves and pants, a rain jacket, a headlamp for night walks, and shoes you don't mind getting muddy.

Is the rainy season a bad time to go?

It's often one of the best times to go! Forests are greener, many animals are more active, and lodges are quieter. Mornings are usually dry, with rain coming in the afternoon.

How close can we get to the animals?

Parks and operators set minimum distances, especially for whales, nesting turtles and Galápagos wildlife, where the rule is 2 m. Touching or feeding wildlife is off-limits everywhere.

Active & Adventure FAQs

How fit do I need to be?

That depends on what you choose. Ziplining and snorkeling suit most people. The classic Inca Trail covers about 42 km over four days and climbs to 4,215 m. Acatenango gains roughly 1,500 m in a single day.

Do I need permits?

For some trails, yes. Inca Trail permits are capped each day and sell out months ahead for May to September, and the trail closes every February. Torres del Paine's W Trek needs campsite or refugio reservations in advance.

How do I prepare for altitude?

Give yourself two or three days around 2,500 to 3,000 m before any big hike, drink plenty of water, and go easy on alcohol at first. Altitude can affect anyone, however fit.

Does my travel insurance cover this?

Check the policy. Many standard plans exclude diving, high-altitude trekking or whitewater rafting unless you add them.

Should I bring my own gear?

Operators supply helmets, harnesses, rafts and dive equipment. Bring broken-in hiking boots, layers and a rain jacket. If you have your own dive computer or mask, bring those too.

Are there minimum ages?

Operators set their own. Scuba certification starts at 10, and whitewater rafting on bigger rivers is often 12 and up.

Families FAQs

What ages work best?

Any age! Kids make the best travel buddies. Toddlers do well with beaches and short drives. Ages 6 to 12 are the sweet spot for wildlife walks and ziplines. Teens can learn to dive (PADI Junior Open Water starts at 10), surf or raft.

Which destinations are easiest with kids?

Costa Rica, Belize, Mexico's Yucatán and Panama. Flights from North America are short, distances are manageable, and there's plenty to do outdoors.

How many stops should we plan?

Two or three for a week to ten days. Three or four nights in each place keeps packing to a minimum.

Can we get connecting rooms?

Some hotels guarantee them only in certain room types, while villas and family suites keep everyone under one roof. We'll tell you which option each hotel offers before you book.

What documents do kids need?

A valid passport for every child. If only one parent is traveling, bring a signed consent letter from the other parent. Airlines and border officers in several countries ask for one.

Should we travel during school holidays?

Christmas, spring break and summer are the busiest family weeks, so book nine to twelve months ahead for those dates. Late June and early July are often quieter in Central America, with green-season rates.

Couples FAQs

Where should we go?

For beaches and downtime: the Belize cayes, Mexico's Pacific and Caribbean coasts, or the Caribbean islands. For culture and food: Peru, Mexico City or Buenos Aires. For wine: Mendoza or Chile's Colchagua Valley.

Can you help plan a proposal?

Yes, we love helping with proposals! Tell us when you book, and we'll plan around the timing, the setting and any extras like a photographer or private dinner.

Are there adults-only hotels?

Plenty, especially in Mexico and the Caribbean. Many smaller lodges also set a minimum age for guests.

What about a babymoon?

Check with your doctor first, as well as your airline's cut-off for flying while pregnant. Read the current health advice on mosquito-borne illnesses for pregnant travelers, since it varies by country.

How long should we go for?

A week suits one or two places. Ten days or more lets you pair an inland stop with a few days on the beach.

Are destinations welcoming to LGBTQ+ couples?

Many are. Same-sex marriage is legal in Argentina, Chile, Colombia, Costa Rica, Ecuador and Mexico, and Buenos Aires and Mexico City have big LGBTQ+ scenes. Attitudes in rural areas can be more conservative.

Food & Culture FAQs

Where should I go for food & culture?

Mexico and Peru, if food comes first. Guatemala, for living Maya traditions. Colombia or Argentina, if you'd rather dance until 2 a.m. Some trips combine multiple destinations for more variety.

Can you plan around dietary needs?

Yes. Let us know when you book, and we'll pass it on to every guide, host and cooking class.

Is street food safe to try?

Some of the best meals in the region cost a few dollars and come wrapped in paper. Look for busy stalls with high turnover, where the food is cooked fresh in front of you. Your guide can point out their favorites.

Can we time our trip around a festival?

Yes, and book early. Hotels fill up months (or even years) ahead for the big ones:

  • Day of the Dead in Oaxaca (Oct 31 to Nov 2)
  • Holy Week in Antigua, Guatemala
  • Inti Raymi in Cusco (June 24)
  • Carnival in Barranquilla, Colombia
Are experiences private or small group?

Usually a bit of both. A private guide is worth it at big sites and busy markets, where you'll want to set your own pace and ask questions. A cooking class or tasting is often more fun with a few other travelers.

How hands-on can we get?

Very. You can grind cacao into chocolate with a Maya family in southern Belize, learn to make ceviche in Lima, or pick coffee on a farm in Colombia's coffee region during harvest.
